Leaving DAMTP - Your Data, Email and Web-Pages
Once you have left the department, the address for correspondence about your computer accounts is itaccounts@damtp.cam.ac.uk.
1. Members of the department and visitors on the departmental phone list
Your departmental UNIX/Windows account (includes data and web pages, and not email) will stay open for half a year (six months) after you leave the department. After that the account will be closed.
Department PhD research students receive an automatic extension of one year.
The University Computing Service will contact you separately about the accounts you hold with them (Email, Raven). Arrangements made about these accounts do not affect the status of your DAMTP UNIX account and vice versa.
When you leave the university your email addresses cease to be active.
You can set up a contact address/auto reply for your @cam and @damtp addresses. When anyone emails you, they will receive your contact address in reply.

2. Other Visitors
Your department UNIX account will stay open for one month after your visit or collaboration and then it will be closed.
The Stages of Account Closing and What You Should Do
1. Copy, Transfer and Delete Data
Storage, particularly home directory space, costs money. Please remove unnecessary data and scratch space files before you leave. That way we continue to have space for new members of the department.
Or consider moving the data to DSPACE.
2. File Transfer
We advise transferring files from your DAMTP account before you leave. A "local" file transfer to, for example, a USB disk is much faster than moving data across the Internet.
3. Personal Data Removal
It will be assumed that you have removed all personal information from your home directory (and data and scratch areas) before you leave.
4. Account Closure
When your account is closed, all data will continue to be on the system for another six months.

Retaining access to Cosmos
If you will need to continue accessing Cosmos after your departmental UNIX account is closed you must let the Cosmos system manager know the ip address you will connect from, to the Cosmos system.
You also need to make sure the DAMTP Computer Officers know you will need continued access to Cosmos. Otherwise you may lose access when they close your DAMTP account. Email itaccounts@damtp, copying the Cosmos system manager.
Return Visits to DAMTP
If you come back to visit us can give you internet access.
Academic work that requires use of a Department UNIX Account
If you are involved in some official academic work for a senior member of DAMTP and need to use a department UNIX account for the purposes of this work, then please check our collaborators page.
You will need to download and fill in our application form for continuing to use IT facilities . Further instructions are on the form.
This also applies to research students nearing the end of their automatic one year extension who need more time to write up. Write on the form that you are writing up, give an estimated date of how much longer you need and let us know of any licensed software you may need to use.
6. Retiring Staff
Staff retiring from the Department can keep their computer accounts. If you will not have an office in the department and want to keep access to the unix system you must contact itaccounts@damtp.
