Notes for Collaborators
Introduction
A collaborator, for the purposes of this service, is someone who is
-
Working with a senior member of the department and
needing access to the department unix system for this work.

What to do
If as part of your work you have good reason to need access to the department unix system then please download and fill in a collaborator's application form. Instructions regarding what to do next are on the form.
We acknowledge receipt of collaboration forms. If you do not receive such an acknowledgement check with the person you are collaborating with.
We expect you to regularly need to access the system.
If at the end of your collaboration period you find you need continued access to the system, then please fill out a new form. Please set up your own reminder for this.
If we do not receive a new form within a month of the end of your collaboration period we disable logins on your account. (Your files and data stay in your account).
If you've forgotten to give in the paperwork or didn't realise you needed to do so, you have six months to notice your account is disabled and to get your paperwork in.
To re-enable logins on your account, send in a new collaboration application form (link above).
If your account is disabled for six months we will assume you do not need it any more and will archive it.
Archived accounts are deleted after a minimum of a further six months.
Expectations
We expect collaborators...
To need a department unix account for their work (not all collaborations need a department unix account.)
To regularly log into the system. At least once every six months.
To only use the provided IT accounts for academic purposes related to their collaboration.
To ensure we have an up to date contact email address for them.
To respect software licenses. Some mathematical software is only for tthe use of current staff and students. If in doubt ask.
If using department public computers for running code, to play fair. Please do not use a large number of the faster public computers, do nice your code and please leave spare CPU in the system for current members of the department.
Most research groups have some computers of their own; if you need lots of CPU power, talk with the academic who sponsored your account.
To remove all personal and private files at the end of a collaboration and clean out data areas you kept data in.
To remember that in general, the availability of a facility does not imply permission to use it. You have signed to agree that you accept that your continued use of the facilities is permitted solely for the uses you list on your application form and you will not attempt to access facilities you are not permitted to use.
Research students who are writing up or doing corrections ...
Please fill in the same form stating that you are continuing to write up and give us an expected end date. List any licensed software you will continue to need access to. If you are unsure whether or not any software is licensed, list it regardless.
If when you finish writing up, you start a collaboration, we need a new form to be filled in please. This is due to software licensing issues.
