Department of Applied Mathematics and Theoretical Physics

The Department of Applied Mathematics and Theoretical Physics at the University of Cambridge is seeking to appoint a PA to the Head of Department/Chief Secretary to provide a comprehensive secretarial service to the Head of Department and to manage a secretarial support team of 5 people.

The post holder will provide administrative support to the Head of Department including diary management, managing incoming information (read and draw attention to matters that require urgent attention), making potentially complex travel arrangements and arranging a variety of events, large and small. The role holder will also be responsible for preparing agendas, taking and preparation of minutes, distribute and follow up on any action points as necessary.

The successful candidate will maintain information flow within the department, including managing and maintaining the department's web pages and manage the production of any communications and publicity materials. They will also act as the point of liaison within the department, university and external stakeholders.

The role holder will also manage 5 members of support staff to oversee workload, quality and working practice. This will also involve undertaking staff recruitment, staff review and development, induction and training.

The post holder will have previous experience as a PA/Senior Administrator and proven line management experience would be desirable. The successful candidate will be an experienced and expert user of Microsoft Office (Word, Excel, Access and Outlook) and they will also be a competent user of databases, webpages and email packages.

Excellent organisational and communication skills and attention to detail are a must, together with a confident approach, tact in dealing with people at all levels. Good time management and the ability to prioritise a diverse and changing workload is also essential.

The successful candidate will hold HND, HNC level 4/5 vocational qualification or equivalent level of practical experience.
